This Privacy Policy explains how AGNEXTRO LLP (“AGNEXTRO”, “we”, “us”, or “our”) handles personal information through ArchPro, its websites, applications, public forms, and related services (collectively, the “Service”). This policy is public and may be referred to by any visitor, customer, administrator, or user.
Software Ownership
ArchPro belongs to and is owned by AGNEXTRO LLP. ArchPro is proprietary software operated by AGNEXTRO LLP. The software, source code, product design, workflows, branding, documentation, and related intellectual property belong to AGNEXTRO LLP or its licensors. Access to the Service grants a limited right to use it; it does not transfer ownership of the software. Each customer organization retains its rights in the business data and content it submits to the Service.
1. Information We Collect
We collect information needed to provide, secure, and improve the Service. Depending on how the Service is used, this may include:
- Account and organization data: Name, email address, phone number, job details, role, organization, profile information, and authentication records.
- Work and content data: Projects, tasks, forms, documents, submissions, messages, comments, leave records, and audit history.
- Attendance data:Check-in and check-out times, work mode, location, attendance photographs where enabled, device details, and biometric authentication verification data. ArchPro uses authentication results and credential identifiers; device biometrics remain subject to the device platform's controls.
- Technical data: IP address, browser or device information, logs, cookies or local storage, and security events.
2. How We Use Your Data
We process information to provide accounts and requested features, maintain tenant-separated organization workspaces, authenticate users, generate reports and notifications, provide customer support, prevent misuse, maintain security and audit trails, meet legal obligations, and improve the Service.
- AGNEXTRO LLP owns and operates the SaaS platform and Super Admin function.
- Each organization's Admin manages that organization's users and data.
- Organization attendance summaries are sent only to active Admins of that organization.
3. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls and organization-level data separation. No internet transmission or storage system is completely secure, so absolute security cannot be guaranteed. Users must protect their credentials and promptly report suspected misuse.
4. Third-Party Access
We do not sell personal information. We may disclose information to the customer organization that controls the relevant workspace; authorized users; infrastructure, email, storage, analytics, and support providers acting for us; professional advisers; or authorities where required by law. Providers receive only the information reasonably needed for their services and are expected to protect it.
5. Data Retention and International Processing
We retain information for as long as needed to provide the Service, meet customer instructions, resolve disputes, maintain security, and comply with legal obligations. Retention periods vary by data type and contract. Service providers may process information in countries other than the user's country, subject to appropriate contractual and security measures.
6. Your Choices and Rights
Subject to applicable law, users may request access, correction, deletion, restriction, or a copy of their personal information, and may object to or withdraw consent for certain processing. Because customer organizations control their workspaces, users should first send workspace-data requests to their organization's Admin. We may need to verify identity and retain limited information where legally required.
Account deletion
To request deletion of an ArchPro account and its associated personal data, sign in to ArchPro, open Profile, choose Delete Account, and complete the email OTP verification. Organization-managed work records may be retained or removed according to the organization's lawful instructions and retention obligations. Users who cannot sign in should contact their organization's Admin or the AGNEXTRO LLP business contact that provided access.
7. Public Forms, Children, and Policy Changes
Public form links are intended for authorized recipients. Submitters should provide only the requested information and should not share a form passkey. The Service is not directed to children unless used under the direction and responsibility of an authorized organization. We may update this policy and will post the revised date on this page; material changes may also be communicated through the Service or the relevant organization.
8. Contact
For privacy questions or requests, contact your organization's Admin or the AGNEXTRO LLP business contact through which the Service was provided. Please identify the relevant organization and account, but do not send passwords, passkeys, or sensitive documents in an unencrypted message.
